How Does an NEMT Dispatch System Work?

There comes a point in time for all non-emergency medical transportation providers when they realize their business is growing rapidly, and something has to change. Business growth is an exciting part of running your own company, but it also means adjustments have to be made to compensate for the increase in your workload. If this sounds like a situation you’re in, we have good news. NEMT dispatch software is a worthwhile investment that ensures your operation runs as efficiently as possible. Below, we broke down exactly how a dispatch system works to make your trip planning a breeze.
Receive Trip Requests in Your System
When a patient or broker requests a ride, you can view your requests right within the dispatching system. As soon as you accept the trip requests, the system searches for drivers and available vehicles to schedule the trip. Rather than sitting on long phone calls attempting to schedule rides over the phone, it’s easy to see all your data in one place while the system automatically does the hard work for you.
Find the Best Route Available
Once a trip is accepted, your transportation dispatch software quickly works to schedule the trip, finding the best available drivers and vehicles according to passenger needs. The system also examines all possible routes, taking into consideration traffic patterns, weather, accidents, and anything else that could potentially slow down the trip. This ensures that every trip is performed in the most efficient manner possible. The system even has the ability to adjust routes on the fly for optimum performance.
Intelligent Dispatching
No-shows are a huge detriment to your business’s efficiency, so your NEMT software system won’t dispatch a trip until you receive confirmation that your passenger is ready for their ride. The system sends out a message the night before a trip and the day of, and the system waits until you receive trip confirmation to dispatch your drivers and vehicles, so you can avoid no-show passengers at all costs.
Seamless Communication
If you aren’t using software to manage your trips, you’ll find it’s difficult for your dispatchers to communicate with your drivers in an efficient manner. A dispatch system allows effortless communication between the two parties, so if dispatchers find that the current route isn’t the fastest anymore, they can send drivers the updated route to keep the trip running as scheduled.
Simplified Billing
Working with NEMT dispatch software makes billing claims and collecting payments a breeze. If you’re dealing with Medicaid patients, the system can recognize specific payer requirements and adjust so your claims adhere to their format. Additionally, the system recognizes what codes are needed per state, and alerts you of any incorrect or missing patient or coding information. If you’re working with private pay clients, your drivers have the ability to collect payments as soon as the trip is complete via the NEMT driver app.

Hello,
I own a small NEMT business and was looking for dispatcher software who can Automatically select/ choose daily trips for each car, using a provided daily list, based on the loaded and unloaded time, location, millage, the broker payment offer.
the system should choose the trips considering:
1- decreasing the loaded and unload time (by choosing the next customer home pick up location close to the first customer hospital drop off location).
2- the driver working hours (getting the max benefit from the driver during his working shifts).
3- the location (making less travel distances to save gas).
4- the Broker higher payment offers.
hence maximizing my profit and diminishing my overheads.
